When a prominent German energy company wanted to immerse 110 of their delegates in the world of renewable energy, the ambition was bold: get as close as possible to a working wind farm, understand how it operates, and make it an experience that would genuinely resonate. What followed was one of our most logistically intricate and rewarding programmes to date.

The Brief

The client’s vision was straightforward in concept — a guided visit to a wind farm in the Netherlands for their full delegation of 110 people. For a company deeply embedded in the energy sector, this wasn’t simply a leisure outing. It was an opportunity for their team to witness renewable energy infrastructure at scale, to connect with the technology they work alongside every day, and to do so in a setting that inspired rather than informed. The challenge, as is so often the case, lay in the execution.

The Challenge

The first and most significant obstacle emerged early. Direct access to wind farm sites in the Netherlands is tightly controlled under national infrastructure security protocols, and obtaining clearance for a group of 110 visitors — regardless of their professional credentials — proved impossible through conventional channels. For many, this would have been the end of the road. For us, it was the beginning of a more creative conversation.
Beyond the access issue, the logistical complexity of moving 110 delegates from central Amsterdam to a working harbour, coordinating live expert commentary from another country, and delivering a seamless on-water experience presented a series of compounding challenges that required meticulous planning, reliable partners, and a great deal of coordination.

The Solution

Rather than abandoning the core ambition, we reframed it. If the delegates could not stand inside the wind farm, we would bring the wind farm to them — as close as the water would allow. We sourced a professional vessel operating on the IJsselmeer, large enough to accommodate all 110 passengers comfortably, and negotiated a route that would take the group directly alongside the Noordoostpolder Wind Farm. With 86 turbines rising from both the shore and the water, and an annual output of approximately 1.4 billion kWh of clean electricity, the scale of the facility is difficult to appreciate from land. From the water, it is nothing short of extraordinary.
Seeing the turbines from the deck of a moving vessel — their scale suddenly undeniable, their motion hypnotic — turned what could have been a compromise into one of the most visually powerful moments the group had experienced together.

Expert Guidance Across Borders

The client had been clear from the outset: they wanted more than a scenic cruise. They wanted insight. A live subject-matter expert was requested to guide the delegation through what they were seeing — explaining the engineering, the energy output, the environmental context, and the future of the facility — in real time, as the boat moved through the water.
The challenge was that the ideal expert was based in Munich. We brought in a specialist audiovisual company to solve this, establishing a live audio link between the Munich-based specialist and all 110 delegates on board. Each passenger was provided with a dedicated headset, ensuring crystal-clear commentary even in the open-water environment. The result was a remarkably intimate experience: 110 people on a vessel on the IJsselmeer, each connected directly to an expert hundreds of kilometres away, learning and questioning in real time.

Ground Logistics: Amsterdam to Urk

Moving a group of 110 from central Amsterdam to Urk Harbour presented its own set of challenges entirely. The roads leading into Urk are famously narrow, requiring careful route planning and close advance coordination with our coach bus providers. In the city itself, coaches are subject to strict stopping restrictions — permitted to pause for only a matter of minutes before moving on — which meant that the boarding process in Amsterdam had to be executed with precision.
To manage this, we deployed a team of on-site hosts whose sole focus was to ensure that delegates were briefed, positioned, and boarded as efficiently as possible. Their presence made the difference between a stressful scramble and a smooth, professional departure. Every passenger was on board and on schedule.

On the Water

Once underway, the atmosphere shifted entirely. The boat company’s crew were attentive, professional, and genuinely invested in the group’s experience, keeping refreshments flowing and ensuring passenger comfort throughout the journey. With the expert commentary providing a continuous thread of context and conversation, the cruise became something far greater than a sightseeing trip — it was an education, a shared experience, and for many delegates, a genuine moment of connection with the industry they had dedicated their careers to.

The Outcome

From city centre departure to return, the full programme was completed within six hours. What began as a brief that seemed, on the surface, impossible to fulfil — access denied, expert abroad, harbour remote — was delivered as a cohesive, high-impact experience that exceeded the client’s expectations. It stands as a strong example of what thoughtful destination management can achieve: not just solving problems, but finding opportunities within them.
