About this Project

SkyMar DMC successfully designed and delivered a high-level customer experience program for Hewlett Packard (HP) at its headquarters in Houston, Texas. The event brought together 25 senior decision-makers from across Canada, including CFOs, Human Resources leaders, Directors, Project Managers, and representatives from the Canadian Federal Government.

The Objective

The purpose of the program was to provide invited guests with an exclusive opportunity to engage with HP leadership, participate in strategic meetings, and experience a carefully curated blend of business and leisure activities. SkyMar DMC was responsible for the complete event logistics, including air travel coordination, accommodation, airport transfers, food and beverage arrangements, meeting scheduling, and off-site experiences.

The Challenge

The event coincided with one of the busiest periods in Houston’s history—the Super Bowl. The city experienced unprecedented demand on transportation, accommodations, venues, and entertainment facilities. Road closures, security checkpoints, traffic diversions, and large crowds created significant operational challenges throughout the program.

Adding to the complexity, all participants were arriving and departing from different Canadian cities at varying times, requiring carefully coordinated airport transfers and personalized travel management.

The Solution

SkyMar DMC developed a detailed logistics plan to ensure a seamless experience for all attendees. Airport transfers were managed individually according to each participant’s arrival schedule, ensuring smooth transportation despite increased traffic congestion throughout the city.

As Super Bowl-related road closures expanded during the event, our team proactively revised transportation routes to HP headquarters and adjusted meeting schedules to accommodate changing travel times. Through constant communication with transportation providers and venue contacts, we ensured all business sessions proceeded without disruption.

Over the course of two and a half days, attendees participated in productive meetings and presentations at HP headquarters, achieving the program’s business objectives while maintaining a positive guest experience.

Securing a Premium Hospitality Experience

A key component of the itinerary was a private hospitality experience at a basketball game hosted at the Fertitta Center. However, due to the Super Bowl influx, nearly all private suites in the city had been sold out well in advance.

Recognizing the importance of this experience for the client, our team worked closely with venue representatives and client services personnel, conducting ongoing follow-ups and negotiations until we successfully secured a private suite complete with catering and an open bar for the group.

Managing On-Site Challenges

Event-day logistics required additional flexibility. With many roads surrounding the arena closed to vehicle traffic, SkyMar DMC coordinated a 15-minute guided walk to the venue while ensuring the group remained together and arrived safely and on time.

The group also expressed interest in visiting several Super Bowl installations and activations that were not originally included in the itinerary. Our team quickly adapted the schedule and organized an impromptu walking tour, allowing participants to experience these attractions without impacting the overall program.

Another evening featured attendance at the Super Bowl Experience, one of the city’s most heavily attended events. Given the large crowds and heightened security measures, SkyMar DMC implemented a comprehensive guest management strategy, including designated meeting points, clear communication procedures, and contingency plans to ensure all participants could quickly reconnect with the group if separated.

Results

Despite operating during one of the largest sporting events in North America, SkyMar DMC successfully delivered a seamless and memorable customer experience program for Hewlett Packard and its invited guests.
